It's really important to have your picklist values for your forms to be exactly the same as in SFDC. I also find providing an upload template also helps when there are lists from events. Educating everyone on on the importance of not only having the data but also in the exact way SFDC wants it is very important to do. You can certainly create a contact washing machine in the meantime, but getting everyone on the same page as SFDC is going to help you in the long run.
